Job Description TITLE: Investment Team CoordinatorCLASSIFICATION: Full-timeDEPARTMENT: Investments REPORTS TO: EVP, Investments Position Summary:Assists all members of the Investments team with administrative duties, budgets, monthly and quarterly reports, legal responsibilities, loan assistance, scheduling, calendar management, prospect database management and setting prospect appointments. Essential Duties and Responsibilities:Executive Assistant:-- Assists with personal matters as requested-- Conserves team members' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications-- Greets incoming guests on behalf of team-- Keeps appointments, calls, and other items organized to avoid scheduling conflicts and assists with time management-- Processes invoices; Adobe sign-- Schedules and prepares for meetings and conferences; orders lunches as needed-- Types documents and reviews for accuracy and proficiency-- Writes and distributes department policies and procedures -- Plans extensive travel for executives; Books flights, hotels and handles logistics and changes to travel-- Creates and processes expense reports. Processes credit card reports and prepares expenses reports for signature.-- Manages business development calendar-- Reads, negotiates and manages Contracts-- Plans and implements quarterly investor events-- Updates budget and emails notification to Grubb contact as sponsors registers-- Assists with mail merging investor letters-- Plans and coordinates annual investor dinner, working in conjunction with Deidre Grubb-- Plans and coordinates annual GPI board and shareholders meeting/lunch-- Assists with renaming and uploading investors K-1's-- Mails annual/4th quarter report to all investors; Clean-up and format, create labels, package and stamp -- Sends monthly over night packages to Rickie Paley-- Schedules investor calls/meetings as needed for the team-- Scans and saves investor subscription agreements, promissory notes and other investor fund documents-- Assists with uploading quarterly investor capital account statements and investor documents to secure Cortland site-- Schedules annual fund advisory board meetings and sending out the agendas-- Creates investor files for new fund investors Knowledge/Critical Skills:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Five years' experience as administrative assistant in corporate setting.Sales and marketing experience preferred, including cold-calling and prospect follow-up and maintenance.Experience in the real estate field preferred.Notary Public designation preferred.Must be very detail-oriented and organized, with emphasis on accuracy and completeness of task.Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Adobe (document manipulation), and internet research required.Ability to perform several tasks concurrently with ease and professionalism.Ability to operate general office machines such as facsimiles, copiers, postage meter, typewriter, printer, and computer.Strong verbal and written communication skills as well as ability to work independently with minimal supervision.Ability to work with outside vendors and investors.
