Role
You will provide professional, executive support to our executives
to enable them to be more efficient and impactful, and act as the
friendly, administrative point of contact between the executives
and internal/external stakeholders. You will be a trusted partner
to the executives, the Senior Leadership Team, the EA team, the
Office Manager team and the organization. You will be in a hybrid
role with flexibility to work across different time zones, and
occasionally from an on-site location upon request.
What a day is like:
* You will proactively manage the daily evolving calendars of the
executives, keeping appointments and meetings on time and without
scheduling conflicts, changing schedules as needed and help
prioritize appointments according to business needs
* You will interact with external and internal stakeholders on
behalf of the Executive(s) you support.
* You will manage and optimize travel arrangements for the
executives as well as travel arrangements for team members and
clients traveling with the executives
* You will assist with renewals of passports, visas, and other
related travel documents
* You will help the executives plan and coordinate team (or
company) events, workshops and off-sites by taking care of
communication and logistics such as location sourcing and booking,
food, travel arrangements, informing/booking participants etc.
* You will assist with reporting, documentation, researching and
drafting various material such as meeting material, meeting
minutes, emails, presentations/slides, etc if needed
* You will manage expense reporting, organize and track all
business-related expenses for the executive and/or any related
department/team expenses
* You will help to ensure that executives consistently try to
reduce spending by e.g research and obtain advantageous deals on
core executive spending areas
* You will be maximizing executive's time by collecting and
analyzing information
* You will be maintaining confidentiality of all work material and
information
* You will have the ability to work early and flexible hours
* You will travel occasionally upon request
* You will support at in-person events
* You will liaise with office management to help supervise an
office upon request
You're perfect for this role if you:
Love and take pride in helping other people and working on the
front line as well as behind the scenes to make things run
smoothly. You love to coordinate and act proactively to handle a
variety of admin tasks and puzzles because it's very fulfilling
when it all just works out and because you appreciate how important
and helpful that is to the execs you are supporting - and to the
company. You have experience working as Executive Assistant at a
global company; working with many different kinds of smart people,
from many different cultures, across many different time zones is
something that really excites you. You are a really nice person -
yet not afraid to voice your opinion and to manage your
Executive(s) in line with Tradeshift policies. You know how to
interact professionally with external stakeholders such as
investors, customers or partners.
You also have:
* +6 years of executive-level support experience
* BA/BS Preferred
* Experience booking complex travel and itineraries
* Strong communication skills in English, both written and
verbal
* Work well under pressure in a very fast-paced international
environment
* Outstanding organization skills to manage multiple- and
ever-changing priorities
* Detail-oriented, organized and know the importance of keeping
sensitive/confidential information/data fully accurate and
confidential
* Ability to make on-the-spot decisions without sacrificing
attention to detail
* Proactive, flexible, driven, intelligent, and motivated
* Proficient in Google Suite, Google Calendar, Excel, Word, and
Powerpoint
* A good sense of humor
