Wealth and Investment Management (WIM) businesses build enduring client relationships through sound, thoughtful and objective advice. Services include comprehensive planning and advice, investment management, brokerage, private banking, estate planning strategies, trust, and both individual and institutional retirement.

The Administrative Assistant will perform confidential daily administrative support for the Director of the Retirement Service Center (RSC) and in support of the broader RSC leadership team/staff. This position will be supporting complex, time sensitive and confidential projects and tasks, as well as working with a dynamic, geographically dispersed team. The candidate must be able to work independently and efficiently in a fast-paced environment with minimal supervision. The candidate will bring a professional demeanor to a role where working well in high pressure situations with strict deadlines is valued. This position requires a high degree of tact, diplomacy, integrity, tenacity, attention to detail and accuracy due to the high frequency of senior level internal and external contacts and interface. The candidate will also be interfacing and communicating extensively with other ICC team members.

Responsibilities include, but may not be limited to:

  • Administrative responsibility for projects that may be complex and/or involve RSC, Institutional Retirement & Trust or Enterprise-wide impact and confidential issues. Provides support for larger projects managed by others.
  • Effectively managing expense accounts, invoice processing and submitting to accounts payable, ensuring accuracy of payments and researching concerns as needed
  • Providing support to the business line staff in the areas of reporting, customer/business documentation, and service goals
  • Coordinating special events or office functions
  • Working closely with both internal and external customers to meet their service needs
  • Assembles and analyzes information, prepares reports and spreadsheets, manuals, agendas, correspondence and memoranda. Corrects, edits and rephrases as necessary to ensure that the final copy conveys the intended meaning and is correct in detail
  • Administers programs, projects and/or processes specific to the operating unit assigned
  • Maintain digital filing system for easy retrieval of documents and presentations
  • Assisting, screening and/or selectively referring callers, handling complex and sensitive inquiries/calls from external/internal sources
  • May interface with other administrative assistants to share or coordinate workload
  • Exercises independent discretion in contacting firm personnel at all organizational levels to gather information and fulfill assignments which may involve work of a confidential nature and require knowledge of the practices and procedures of the function, institution, products, policies and programs. Acts as an information source on departmental/business unit policies and procedures
  • Work with leader to ensure staff management obligations are met (performance reviews, calendaring, process, input, budget preparation)
  • Serve as HR administration proxy to include Staff Management, CP&D, Online Recruiting, Talent Management System, Annual Focal Review and PTO tracking
  • Handling personal and confidential company materials with sensitivity and discretion
  • Maintenance of SharePoint sites and email distribution lists
  • Proactively managing leaders calendars, prioritizing meetings and events to maximize leader effectiveness, including daily update of full calendar and materials needed for following day
  • Scheduling and coordinating in-person and remote/video meetings and events in multiple locations

    Required Qualifications

    • 3+ years of administrative support experience

      • Ability to be flexible and adjust plans quickly to meet changing business needs
      • Intermediate Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills

        Other Desired Qualifications

        • Ability to schedule and plan meetings, events, and travel arrangements
