Come join our growing Engineering team. We are looking for an Office Administrator to provide support to all of our Regional Engineering Offices. This role can sit in Philadelphia, PA, St. Louis, MO, Charlotte, NC or Scotia, NY.Responsibilities:

  • Email/Phone questions/Concerns
  • Department purchases / Invoice processing
  • NDA's/Confidentiality Agreements
  • Media/software/Reference book/Professional Organization tracking
  • Assist with synergizing other Engineering entities with our processes such as Engineering Request forms, Engineering DB implementation, etc.
  • Provide support to all branches, as needed
  • Mail
  • Department FedEx
  • Workflows and invoice processing
  • Department Payroll
  • Department On-boarding
  • SOPs, Software Licenses, Engineering References, Distribution Lists
  • Off-site liaison for R&D facility
  • Department expert - responsible for any additions/edits/new processes and/or features
  • Provide administrative support to all REO's pertaining to their database needs
  • Contact for any testing or database related bugs/issues
  • Process monthly billing and track usage for extra features each month
  • Update and maintain various engineering documents
  • Reporting, as needed by management
  • Work with various departments (legal/supply chain/accounting) to maintain agreements and approved consultant list (PSA / COI)
  • Invoice processing
  • Monthly cost reports for REOs (excel - master)
  • Compliance & monitoring / tracking
  • Designing/Publishing technical manuals (Adobe Suite - InDesign & Illustrator)
  • Edit any existing manuals, as needed
  • Manage technical document website: where manuals will be available for branches to order
  • Manage storage on Engineering Drive
  • Continued maintenance of already published Engineering related documentsQualifications:
    • Bachelor's Degree
    • 5 Years experience as an office manager or coordinator role
    • Ability to work independently and meet deadlines
    • Understanding of various databases/SharePoint
    • Excellent customer service/interpersonal skills
    • Microsoft Office Expert (*master at Excel*)
