They will work closely with clients and they will be responsible for managing and providing daily support to a small team of one, or more, program managers. -- Core Responsibility 1: Team lead functions (30%) Key contact person for Global Operations Manager for all sourcing related questions in North AmericaKey contact person for end client for any feedback and issue managementLead team of currently 3 venue sourcing specialists located in US and MexicoGatekeeper -- assign new meeting requests and equally distribute work amongst team membersMonitor team's performance to ensure all SLAs in relation to their tasks as stated in the contract are being metMonitor team's performance to ensure cost avoidance target is being metEnsure data entry into the client's events technology is accurate and timelyResponsible for all HR related activities such as hiring new staff, goal setting, performance reviews, development plans etc. -- Core Responsibility 2: Operational function (70%) Consult with Event Manager or Contract Manager and Client during research of venues to define requirements to meet event specifications.Prepare preliminary budgets and communicate budgetary information to Event/Contract Manager and Client throughout the sourcing process.Utilize preferred vendors for quality of service and maximum pricing advantage.Maintain positive supplier relationships.Initiate vendor contract for information and pricing on assigned meetings.Maintain the highest level of quality, professionalism and integrity when negotiating with suppliers.Source for the best possible prices and concessions in order to meet client's expectation of 10% cost reduction year over year.Keep vendors up-to-date on proposal status. Block appropriate space and release all space not needed on a timely basis.Keep abreast of new destination options, well-priced seasonal destination options and "hot date" offerings.Coordinate site inspections with suppliers, air and planning departments. Prepare appropriate site inspection material for clients.Enter and update meeting information in meeting management technology. Keep database and savings information accurate.Monitor hotel cancellation/attrition penalties for rebook opportunities.Adhere to all deadlines and turnaround times.Ensure internal and external reporting requirements are met.Prepare initial budget entry in meeting management technology.Develop and maintain relationships with Meeting Hosts to ensure repeat and new business.Consult with meeting clients and make appropriate suggestions to ensure meeting success.Schedule turnover meeting with Event/Contract Manager after site selection and award are confirmed by client.Act as backup for the Event/Contract Manager when they are out of office as necessary.Work independently in the absence of supervisionAssumes and performs other duties and responsibilities not specifically outlined herein, as requested -- Qualifications: College Degree strongly preferredMinimum three (3) to five (5) years purchasing/meeting planning experienceKnowledge of accounting and payment process requiredTravel industry and destination knowledge requiredProficient in Microsoft OfficeMeetingjobs.com.Category: Hospitality & Tourism, Keywords: Meetings and Conferences Program Manager
